Our client renowned in the industry for having the most amazing clients on their books supporting many famous artists, actors, models and musicians are bursting at the seams and require a phenomenal super star to come on board and assist in supporting the admin team with a can-do attitude and a roll up your sleeves mentality.
Your dual role will encompass office administration| reception although the switchboard is very quite 15-20 calls per day max. You will provide support in the areas of general administration, accounting and office management.
No two days will be the same and you must have the credibility to work in a fast paced environment dealing with competing tasks and display absolute discretion when dealing with confidential matters.
The ideal person must enjoy working within a small, tight knit team, be passionate about the industry and have the ability to turn their hands to all facets of the business.
The Role.
Reception duties — answer phone calls, greet clients, maintain a clean and tidy office
Assist the team with the day-to-day operation of files, administration, accounting and client management
Be the first point of contact for client management, especially in more administrative matters
Manage employee onboarding process
Draft documents and correspondence
Attend to file management including opening and closing files, filing emails and documents onto legal database and physical files
Coordinate appointments and meetings
Assist with IT issues and coordinating with tech support
Registering new clients and matters into office system
Attend to administrative matters as required to support lawyers which may include photocopying, scanning, binding, filing and archiving.
Maintain contact lists
Manage and record office expenses, data entry & support to the accounting team
About You
At least 1-2 year previous administration experience
Professional attitude and commitment to work
Solid, MS Office skills and attention to detail
Confident phone manager and the ability to liaise with a wide range of people
Strong verbal and written communication
Confidence and integrity to fulfil the role and take on more senior duties
Ambitious, motivated and prepared to work hard in order to gain internal promotion.
